A Buyer's Checklist for SICK Sensors & Lab Instruments – Why Unit Price Is Only Half the Story

When a Single Order Covers Sensors, Software, and Calipers

Office administrator for a 180-person company. I manage all industrial and lab equipment ordering—roughly $450k annually across 12 vendors. I report to both operations and finance.

Last quarter I had to source: SICK encoders for a packaging line, a SICK infrared thermometer for a high-temperature process (think 800°C+), a water meter for flow monitoring, HPLC software for quality control, and a side-by-side comparison of Starrett vs Mitutoyo calipers for the tool crib. Five different categories, five different vendors—but one common trap: assuming the lowest unit price saves money.

Here's the checklist I built after that experience. It saved roughly $8,000 in hidden costs, and I still kick myself for not having it earlier.

Step 1: Map the Real Requirements (Not the Shopping List)

Don't buy a "SICK encoder"—buy a specific encoder with the right resolution, output type, and environmental rating. The same goes for the thermometer: a SICK real thermometer for high fever applications (in industrial settings, we call it high-temperature infrared) needs the right spectral range, not just any IR gun.

What most people don't realize is that distributors often bundle SICK encoder distributors with different lead times. If I remember correctly, one distributor quoted a 6-week lead but the official SICK partner had stock in 3 weeks—at 12% higher unit price. But the 3-week lead saved our line from a $3,000/hr downtime. The TCO? Obvious.

For the water meter, confirm pipe size, flow range, and output protocol (pulse vs Modbus). For HPLC software, check whether the license is perpetual or subscription—and whether it's compatible with your existing hardware. And for Starrett vs Mitutoyo calipers, don't compare the sticker prices alone; compare accuracy specs, calibration intervals, and replacement jaw cost.

Step 2: Identify All Hidden Cost Layers

People assume the lowest quote means the vendor is more efficient. What they don't see is which costs are being hidden or deferred. I now calculate TCO before comparing any vendor quotes. Here are the layers I check:

  • Shipping & handling – especially for heavy items like water meters or bulky encoder kits.
  • Setup / integration – Does the SICK thermometer need a separate mounting bracket? Does the HPLC software require on-site installation?
  • Training – Starrett calipers are straightforward, but some Mitutoyo models have advanced functions. Who trains the operators?
  • Calibration & certification – Factory calibration vs ISO 17025? The latter can add $40 per caliper.
  • Warranty & support – SICK encoders come with a standard 2-year warranty; some distributors offer extended support for an extra 5%.
  • Inventory cost – If you buy a year's worth of water meters, you tie up cash and floor space.

Never expected the budget vendor to outperform the premium one. Turns out their process was actually more refined for our specific needs—but only after I asked about these layers.

Step 3: Compare Apples-to-Apples by Adding a "Total Cost" Column

Create a simple spreadsheet. For each item, list:

  1. Unit price
  2. Quantity needed
  3. Shipping
  4. Setup/installation
  5. Training
  6. Calibration
  7. Potential downtime/risk cost (estimate)
  8. Total

Let's say you're comparing Starrett vs Mitutoyo calipers. The Mitutoyo might be $150 vs Starrett $135. But Mitutoyo includes a calibration certificate and a longer warranty. If your lab requires yearly recertification, the Mitutoyo saves $25 each time. Over 5 years, it's cheaper—though I should note this depends on your calibration frequency.

Similarly, a SICK encoder from a non-certified distributor might be $280 vs $320 from an authorized SICK encoder distributor. But the authorized distributor offers free tech support and guaranteed original parts. A single field failure could cost $1,500 in replacement labor. That $40 difference suddenly looks trivial.

Step 4: Validate Distributor Claims (Test Before You Commit)

I get why people trust distributor sales reps—they sound confident. But here's something vendors won't tell you: the first quote is almost never the final price for ongoing relationships. There's usually room for negotiation once you've proven you're a reliable customer.

Before placing a large order, request a demo unit or a trial. For HPLC software, ask for a 30-day trial license. For the water meter, borrow a sample and test it on your actual pipe. For the SICK infrared thermometer, ask the distributor to send a demo unit and compare readings against your existing thermocouple.

From the outside, it looks like vendors just need to work faster for rush orders. The reality is rush orders often require completely different workflows and dedicated resources. But a trial order can reveal whether a distributor actually stocks the item or just drop-ships from another warehouse.

Step 5: Don't Forget the After-Sale Ecosystem

One of my biggest regrets: not checking spare parts availability before buying a SICK encoder. The unit was cheap, but replacement cables were only sold by the OEM and cost $78 each. We needed 12 cables—that's $936 unexpected expense.

For HPLC software, verify whether updates are included or purchased separately. Some vendors charge $300/year for upgrades; others roll them into the maintenance contract. And for calipers, check if replacement jaws, batteries, and depth rods are readily available. Mitutoyo has a wider accessory ecosystem than Starrett, which might matter if your shop uses specialized measuring tips.

To be fair, Starrett also has excellent after-sale support, but Mitutoyo's distribution network is denser in our region. Your mileage may vary.

Common Mistakes I've Made (So You Don't Have To)

  • Buying the cheapest SICK thermometer for high-temperature use. The standard model maxed out at 500°C. The process required 850°C. Had to expedite a replacement—$200 rush fee.
  • Assuming water meter specs are universal. One meter said "1 inch" but the thread was NPT vs BSP. Wrong thread, no adapter on hand.
  • Not verifying HPLC software compatibility with our existing LC system. Spent $2,000 on a license that couldn't communicate with the old pump. Vendor refused a refund.
  • Choosing calipers based solely on Starrett vs Mitutoyo brand reputation. Found out after purchase that Starrett's model lacked data output, which we needed for SPC integration.

Granted, these are the kinds of lessons you only learn after a few painful orders. But if you follow this checklist, you can skip the tuition.
